Ask HN: Looking for suggestion to keep team's documentation organised

Hi everyone,<p>I wanted to share a problem I&#x27;ve been facing at work and wanted to know your views regarding the same. At our company, we heavily use gsuite for all sorts of documentation like planning, design docs, and reviews. These documents are then shared through various communication channels like 1on1 chat, group chat, and email. However, I&#x27;ve noticed that at a later point, it becomes really hard to find a particular document I&#x27;m looking for. Additionally, I often miss out on important information because I can&#x27;t keep track of all these docs (example, miss out on reading an important planning doc). Also, if I want to refer to some document sometime later in time, then it becomes quite a headache to find it if I don&#x27;t know where exactly it was shared.<p>1. I&#x27;m curious to know if any of you also experience this issue in your workplace? If so, have you found a solution that works well for your team?<p>2. Have you had experience using google shared drive or microsoft Sharepoint or box or any other tool to organise information based on team or context? How was the experience like?<p>3. How do you enforce certain organisation standards among other member of teams? Or is it one person&#x27;s responsibility to organise this information?<p>Thanks in advance!

This is a problem even I face at my work. Some of my files are in sharepoint, some on my laptop, some on certain email thread. I don&#x27;t know if there is any consolidated platform to pull all the relevant documents or files together. Well, ms sharepoint can be used for this purpose but it is quite a cumbersome to use it. Would love to know how other organizations go around this problem.

I see a similar problem in our organisation. Have worked in FAANG too before and I feel this problem often comes up and but not worth time of anyone to solve it.

not really sure if this cloud help, but I have this problem in my work too, and the way I get around it is clickup (clickup.com), I find it one of the best places to put all documents, you can write notion-style docs as well as upload stuff to it, and it stays easy to find + other features of the app. (this is not a promotion). we also have a resources channel in slack where we share valuable links for blog posts, tools...

I think solving this is more a good to have than a urgent need for most teams as this is not a burning problem. Curious to hear what others think.
